The Department of Veterans Affairs Office of Academic Affiliations (OAA) and the Defense Health Agency (DHA) of the Department of Defense (DoD) collaborated to update affiliation agreement templates. Affiliation agreements between VA medical facilities and DoD facilities are required for health professions trainee (HPT) exchanges between VA and DoD. This partnership and collaboration resulted in the ability to streamline, simplify, and modernize the affiliation agreement template used by both VA medical facilities and DoD training programs.Methods Used: Standardization: Language in the agreement templates were updated and aligned to match non-DoD OAA affiliation agreement templates. Previously there were differences in all four agreement templates such as differing language, sections, and requirements. Streamline: Through use of digital form features, the agreement templates were consolidated from four separate agreement templates down to one single agreement template. The designed template aligns with new DoD structure to include many DoD training programs under DHA. Modernize: The new affiliation agreement template utilizes digital document features to create designated fillable fields, specified dropdown boxes and digital signatures. Prior agreement templates utilized “free text boxes” which were often incomplete or filled out inaccurately. Impact: 1.Having one agreement template lessens confusion and reduces time to update template so updates can occur more readily and quickly. 2.Agreement templates are completed accurately and completely without missing information. 3.Use of digital document best practices significantly enhances the functionality and efficiency of forms which bolsters efficiency and increases customer satisfaction. What we learned/Take Home Messages/Benefits: Through streamlining, standardization, and modernizing the design of the agreement templates, OAA can deliver a more streamlined and robust template for use by VA and DoD customers. Improving the affiliation agreement template requires less staff time for support, requires less employee time to complete the template, results in more accurate completion of the template and increases collaboration among the agencies.
